Human Resources Specialist
Purpose
This role plays a critical role in ensuring accurate and compliant employee data management and delivering seamless onboarding experience. This customer service-focused position supports the full employee lifecycle and serves as a key liaison between candidates, internal stakeholders, and external vendors. The role helps shape the candidate’s first impression of IDEMIA and ensures operational excellence across HR processes.
Key Missions
HR Operations
- Maintain accurate and complete employment records in the core HR system, including personal details, job history, compensation, benefits, performance, and leave data.
- Ensure compliance with company policies and legal regulations across all HR documentation and processes.
- Support payroll and employment-related activities such as hiring, terminations, contract renewals, and labor law compliance.
- Provide HR reporting and analytics to internal stakeholders and external agencies (e.g., headcount, turnover, absenteeism, compensation).
- Collaborate with HR Business Partners, Compensation & Benefits, and Finance teams to ensure timely and accurate HR operations and payouts.
- Participate in internal and external HR audits.
- Maintain and update the Employee Handbook and HR policies on internal platforms.
- Identify and implement process improvements to enhance HR service delivery.
- Manage relationships with HR vendors in alignment with procurement policies.
Onboarding

- Serve as the primary point of contact for candidates from verbal offer acceptance through start date.
- Coordinate onboarding activities including background checks, paperwork, offer letters, reference checks, and start date scheduling.
- Track candidate progress using tools such as ADP, PeopleHUB, and MS Teams.
- Ensure compliance with onboarding documentation including EEO data, identification verification, and applicant tracking.
- Provide exceptional customer service and proactively resolve onboarding issues or delays.
- Maintain confidentiality of candidate information and ensure secure handling of sensitive data.
- Adapt onboarding processes to meet the needs of various business units and geographic locations.
- Perform administrative tasks supporting onboarding, including updating systems and following up with stakeholders.
- Support additional HR projects and tasks as assigned.

Qualifications
- Bachelor’s degree required; an equivalent combination of education and relevant work experience may be considered
- 1–2 years of experience working with ADP Workforce Now (U.S.)
- 1–2 years of HR or recruitment experience
- Intermediate to advanced experience with ADP Workforce Now Custom Reporting
- 1–2 years of experience in Human Resources and/or Recruitment
- Basic working knowledge of U.S. payroll processes
- Proficiency in the Microsoft Office Suite, including Excel, Word, and Outlook
- Intermediate to advanced Excel skills required, including VLOOKUPs and Pivot Tables
- Experience working with HRIS platforms and applicant tracking systems required
- Demonstrated ability to work independently and communicate effectively across all levels of the organization
- English proficiency required, including strong written, spoken, and comprehension skills
- PeopleHUB experience highly preferred and considered a strong plus
- Canadian payroll experience strongly preferred
