Executive / Administrative Assistant

Role and Responsibilities
- Focus on supporting the executive roles in their day-to-day activities; May support one executive or a small number of executives
- Receive and distribute correspondence and documentation within the company, traveling to the post office whenever necessary
- Announce / receive visitors, providing general information, announcing their arrival to company employees
- Participate in different meetings and preparing the summaries, follow-ups, reports and presentations
- Organize and run company events including logistics: teambuilding, x-mas parties, CSR activities, townhalls
- Main point of contact for different business accounts (travel agency, telecom accounts, ..)
- Ensure the necessary office supplies; Other actions requested by Administrator
Key Missions
- Schedules and coordinates meetings, diaries and travel arrangements
- Manages administrative tasks: purchase requests, expenses report, report writing
- Acts as the interface with internal and external interlocutors / stakeholders
- Expects work on support presentations / documents / files
- Handles confidential business and personal information
- Coordinate monthly reports and schedule meetings and interviews
Profile & Other Information
- Bachelor degree or equivalent in Administrative, Economics or related discipline
- Advanced verbal and written skills in English, French would be considered a plus
- Proficient with Microsoft Office Suite applications (Word, Excel, PowerPoint and Outlook)
- Self-motivated analytical individual with attention to details and strong problem solving skills
- Outstanding proactive communication skills: written, verbal, presentations
- Project / Event management relevant experience is a plus
- Very good interpersonal skills
