Purpose

This role provides healthcare services to IDEMIA's employees

Key Missions

We are seeking a General Services Officer (OHNAP Certification preferred) to manage office and facilities operations, ensure compliance with health and safety standards, and support employee wellness programs. This role involves coordinating with HR, vendors, and stakeholders to deliver integrated services that enhance workplace efficiency and employee well-being. 

 

Responsibilities: 

  • Office & Facilities Management: Oversee facilities maintenance, office services, and purchasing needs in coordination with maintenance staff and vendors. Coordinate matters with Building Administrator in relation to office maintenance, compliance, etc. This also includes leasing-related matters, renovations, and other items pertaining to office management.
  • Administrative & Compliance Support: Handle all administrative and general services activities such as, but not limited to, payment processing, vendor management, visa/travel requests, and ensure statutory compliance (e.g., sanitary permits, health certificates, DOLE certificate renewal, etc.).
  • Employee Wellness & Engagement: Organize and facilitate employee programs such as wellness initiatives, in partnership with the ERGs. This also includes any initiatives that need administrative support and logistics such as ordering of sympathy flowers, snacks/meal ordering, etc.
  • Health & Safety Oversight: Monitor clinic supplies, medical equipment, and medicine inventory; coordinate preemployment medical exams, fit-to-work clearances, and annual physical exams.
  • HR & Benefits Coordination: Work with HR Operations to facilitate healthcare benefits such as HMO matters, APE, SSS sickness/maternity benefits, and PhilHealth claims.
  • Emergency Response: Provide first-aid and manage workplace incidents, ensuring proper coordination with external providers.
  • Stakeholder Collaboration: Liaise across departments and external partners to integrate health, safety, and general services functions.
  • Communications & Compliance: Contribute to internal communications on health, safety, and employee welfare while ensuring adherence to company and regulatory standards.

 

Qualifications: 

  • Bachelor’s degree preferably in Business Administration, Facilities Management, Nursing, or a related field.
  • At least 2 years of proven experience in general services and/or facilities management, including vendor coordination and inventory oversight.
  • Strong knowledge of compliance requirements and occupational health and safety regulations.
  • Demonstrated ability to coordinate with multiple stakeholders and departments to deliver integrated employee services.
  • OHNAP certification or equivalent occupational health accreditation is an advantage.
